Frequently Asked Questions
What does my quote include, and what am I responsible for ?
Your provided quote includes the following: final approved itinerary for bus & driver, Insurance, any tolls, fuel for the vehicle. Your provided quote does not include the following: gratuity for your driver (unless added into fee during booking process), any parking fees & permits (if applicable), driver(s) room accommodations for either an over hours day charter, or nightly room accommodations during an overnight charter. Also please note that should your specific charter require two driver’s with room accommodations, you are responsible to provide “separate” rooms for each driver.
>How is pricing determined for my overall quote ?
Since your charter is specific to your itinerary, pricing is determined by the following: vehicle selected, total time vehicle is chartered for (hours, days, mileage), pick-up address, destination address, your specific usage required for the vehicle, date booked in comparison to actual date of charter (ASAP), time of day, day of week, month of year, and is the vehicle being used for a local special event which would influence normal rates.
>What payment methods do you accept and when are they due ?
All charters require a down payment of 30%, due immediately, to secure your vehicle(s), as long as the charter departure date is more than 30 days out. If your charter departure date is within 30 days, we require full payment to be made. We are happy to accept a major credit card, checks (as long as final payment is cleared at least 15 days prior to charter departure date). We also accept money orders, ACH, and wire transfers.
>What is your cancellation policy ?
Our cancellation policy stands as: Once a charter is confirmed, should you need to cancel for any reason outside of 30 days prior to the charter departure date, the cancel request MUST be sent by email to: support@AmericanCharterlines.com. Email will be the only accepted method for cancellation. There will be a $200.00 processing fee, per vehicle, per charter. If your charter departure date is inside of the 30 day window, see below:
From 30 days to 15 days of charter departure date: Fee of 25% of total charter price
From 14 days to 8 days of charter departure date: Fee of 50% of total charter price
From 7 days to actual charter departure date: 100% total charter fee
>When do we receive our driver’s name & number ?
Due to the safety of all involved, the name and phone number of the driver’s are not normally provided directly to the client, unless in a “need to” situation, such as an airport pick-up. Should you have any questions or concerns on your charter departure date or during your actual charter, please contact our dispatch team directly @ 800-841-5039, ext. 3.
>Who is responsible for the driver(s) hotel room ?
It is the responsibility of the client to provide the hotel room(s) for the driver on two types of charter types. The first one is an overnight (multi-day) charter, where the vehicle is remaining with your group. The second trip type is a day charter where the overall hours exceed 15 in total. These are the rarer of the two, and should be gone over in more detail with your sales specialist. Also keep in mind that when booking these rooms along with your own rooms that if you mention to your hotel reservationist that you need to book a room for your driver(s), they will either comp you the driver room, or at the least, discount it. You are NOT obligated to have your driver at the same hotel as you and your guests, but it is recommended if your itinerary during your charter calls for your bus to be onsite at early hours, with lots of day or night movement. Should you choose to book your driver(s) room elsewhere, it should be no more than 5 miles from your hotel, and no matter where you book the room, you must make sure that the hotel can also accommodate the space for your vehicle(s) as well.
>What are the basic “rules of the road” I should be aware of ?
DOT law states that a driver may drive up to 10 consecutive hours (or approx. 550 miles) before having to log off for 8 consecutive hours of off-duty. A legal overall day for a driver is a total of 15 hours (10 maximum driving time).Two drivers on the vehicle together can drive a total of 14 hours, or approx. 770 miles (broken up anyway, but no more than 10 hours for either of the drivers). A driver may not drive after having been on-duty for 70 hours in any consecutive 8 day period. >What is considered Overtime ?
Overtime is considered as the "actual" final drop-off time as compared to your estimated charter drop-off time. For example, if your final departure time from your last destination is for 10:00pm, and your return home is approx. 30 miles, your estimated final drop-off time is 10:30pm, you are then provided a 15 minute extra “grace period”after which will now be charged an overtime fee, as per your signed terms and conditions using the credit card on file or billed to the chartering party.
